Scope
This policy applies to personal information handled through our website, business development, recruitment, training, events, supplier relationships and client engagements. A client contract or collection notice may provide more specific terms for a particular engagement.
We handle personal information in accordance with applicable Australian privacy requirements, including the Australian Privacy Principles where they apply.
Information we collect
Depending on how you interact with us, we may collect:
- identity and contact details, such as your name, work email, telephone number and location;
- professional details, including employer, role, qualifications, work history and areas of expertise;
- enquiry details, such as the service, timeframe, business challenge and outcomes you describe;
- commercial and engagement information, including proposals, contracts, meeting notes, project communications, billing details and feedback;
- recruitment information, including a CV, portfolio, references and work eligibility information;
- training information, including enrolment, attendance, learning needs and feedback; and
- technical information processed by our hosting and security infrastructure, such as IP address, device or browser type, request time, referring page and diagnostic logs.
We do not ask for payment-card details through the website. We do not intentionally collect sensitive information unless it is reasonably necessary, lawful and collected with appropriate consent or authority.
How we collect information
We collect information directly from you when you complete an enquiry form, email or call us, apply for an opportunity, register for training, attend a meeting or work with us.
We may also receive business contact information from your organisation, a professional referral, a public professional profile, a technology or delivery partner, or another source where collection is lawful and reasonably expected.
The website uses essential technology needed to deliver and protect the service. We do not currently use the website to serve behavioural advertising.
How we use information
We may use personal information to:
- respond to enquiries and recommend a useful next step;
- develop proposals, deliver services and manage client relationships;
- administer training, events, recruitment, suppliers and professional networks;
- operate, secure, troubleshoot and improve our website and business systems;
- maintain financial, contractual, governance and audit records;
- communicate relevant Qubit Analytics updates where you have requested them or where permitted by law; and
- meet legal, regulatory, insurance, security and professional obligations.
We use information only for the purpose for which it was collected, a related purpose you would reasonably expect, with your consent, or where otherwise authorised or required by law.
When we disclose information
We may disclose relevant personal information to people who need it for a legitimate business purpose, including:
- Qubit Analytics personnel, contractors and specialist associates;
- technology, hosting, communication, document, accounting and professional-service providers;
- clients and delivery partners where required for an engagement and appropriately authorised;

- government, regulatory, law-enforcement or dispute-resolution bodies where required or authorised by law.
We do not sell personal information.
Overseas processing
Some technology providers or their support teams may process or store information outside Australia. The countries involved can change as service providers update their infrastructure.
Where Australian privacy obligations apply, we take reasonable steps appropriate to the circumstances when selecting providers and managing overseas handling. Contact us if you need information about overseas processing relevant to a particular engagement.
Security and retention
We use administrative, technical and physical safeguards designed to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure. These may include access controls, secure hosting, encryption, backups, logging, supplier review and staff confidentiality obligations.
No internet transmission or storage system is completely risk-free. If a data incident occurs, we will assess and respond to it in accordance with applicable requirements.
We retain information only for as long as reasonably necessary for the purpose collected, contractual and operational needs, dispute management, insurance, or legal and recordkeeping obligations. We then delete or de-identify it where practicable.
Access and correction
You may ask to access personal information we hold about you or request a correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before responding.
In limited circumstances, the law may allow or require us to refuse access or correction. If that happens, we will explain the reason where we are permitted to do so.
Marketing choices
You can ask us to stop sending marketing communications at any time by using the unsubscribe option in the message or contacting us. We may still send essential service, contractual or administrative communications.
